Pastoral Care Administrative Assistant - Part Time

The ideal candidate for this position reflects the core values of LifePoint, and assists the pastoral care team in very practical ways by ensuring people take their next steps on their healing journey.  Compassion, mercy, patience, a sense of humor, and people skills are a must.

Purpose of the Role:

The Pastoral Care Administrative Assistant supports the ministries of the Pastor Care Team including prayer team, care team, benevolence, marriage, and premarital counseling

Top 3 Key Result Areas:

  • Administrative Support to Care Pastors

  • Manage pastoral care workflows which include: premarital counseling, officiant requests for marriages and funerals, pastoral counseling and general questions coming from the church and community

  • Scheduling pastoral care appointments

Essential Functions and Responsibilities:

  • Manage pastoral care workflows in PCO

  • Compassionately respond to urgent needs or crisis situations when pastors are not available

  • Greet individuals who come in for appointments

  • Facilitate outside referrals when needed

  • Update LPC resource list quarterly

  • Help with preparations and duties associated with the quarterly Saturday premarital sessions

  • Assist with benevolence requests

  • Regularly send out care cards to LPC members and thank-you cards to care team members

  • Assist with budget management; logging weekly receipts and reports to the appropriate budget

  • Assist with premarital counseling and Officiant requests; communicate to couples LPC wedding policies, gather forms, communicate with pastor the couple’s requests and unique circumstances and wishes

  • Provide support for care related events, preparations for the event & hospitality the day of the event

  • Assist with interns and tracking progress through their program

  • Schedule travel, accommodations and conference registrations when requested for care pastors

  • Provide support LPC for conferences, events and special meetings

*Other duties may be assigned as necessary

Experience and Knowledge:

  • Absolute awareness of confidentiality

  • Committed to compassionate care for the vulnerable hurting and lost

  • Schedule and task focused; able to prioritize and complete duties using tracking software, lists, etc.

  • Interpersonal awareness, healthy boundaries

  • Analytical thinker and good with time management

  • Working knowledge of necessary programs; Planning Center, Google Docs, Word, Excel, Expensify

  • Commitment to personal Spiritual growth by investment of time in prayer and bible reading

Weekly Hours: up to 20 hrs/wk and Special Events as needed
